What is the difference between CoachPro Tools and Koalendar?

Koalendar is booking software: a public booking page, sync with Google, Outlook and iCloud, automatic time zone detection and reminders. It does that well, and its free plan does not cap the number of bookings. CoachPro Tools does all of that too, and then covers what comes after the booking: the client record with their history, the video call, contracts with signature, invoicing, and +309 interactive tools the client fills in during the session. The difference is not which one schedules better. It is where each one stops.

How much does Koalendar cost?

It has a free forever plan with unlimited bookings, unlimited booking pages, sync with Google, Outlook and iCloud, time zone detection, notifications and a mobile app. The Pro plan costs 9.99 USD a month, or 96.99 USD per user per year billed annually. Is Koalendar good for a coach?

Yes, for the scheduling part. If all you need is for your client to pick a slot without emailing you, Koalendar solves that and does it for free. What it does not cover is the rest of the practice: there is no client record with history, no contracts with signature, no invoicing, no built-in video call and no instruments to work with during the session. That means adding other tools.

What does Koalendar do better?

Four concrete things. It is free, and the free plan does not cap bookings. Its Pro plan costs 9.99 USD against 30 for CoachPro Tools. It sends SMS reminders, which CoachPro Tools does not: ours go by email only. And it supports multi-host and round robin scheduling, which CoachPro Tools does not have. If your problem is the calendar and nothing else, Koalendar is the right answer.

Does CoachPro Tools sync with my Google Calendar?

Yes, both ways. CoachPro Tools appointments are written into your Google Calendar by a reconciler that compares the real state against what is already there and applies the difference, over a window of one month back and twelve forward. And the other way round: CoachPro Tools reads the slots where you are busy in your Google so nobody books over them. It reads times only, never the titles of your events, because reading titles would require a permission Google classes as sensitive and we chose not to request it. There is also a per-coach iCal feed that Google, Apple Calendar and Outlook can subscribe to.

Can I use both at once?

You can, but there is little point: both do the same job on the scheduling side and you would end up maintaining two calendars. If you already use Koalendar and you are happy with it, the useful question is not whether to switch calendars, but where you are currently handling the client record, the contract, the invoice and the work of the session itself.

Into your Google. CoachPro Tools appointments are written into your Google Calendar by a reconciler: it compares the real state of your appointments against what is already written and applies the difference, over a window of one month back and twelve forward. If something went missing, the next pass repairs it.

Out of your Google. CoachPro Tools reads the slots where you are busy so nobody books over something you already had. It reads times, never titles. Reading titles would require a permission Google classes as sensitive, and we chose not to request it: you see «Busy» here and the real title in your own Google.

And into Apple and Outlook. Every coach gets their own iCal feed that Google Calendar, Apple Calendar and Outlook can subscribe to directly.

Verdict

If the only thing you are missing is letting your client book on their own, use Koalendar. It is free, it does the job, and paying 30 USD a month for the same thing would make no sense.

If the problem is not the calendar but everything around it — where each person's history lives, where you both sign, what you actually work with during the hour, who issues the invoice — the arithmetic changes. You would not be comparing two calendars: you would be comparing a calendar against the whole platform.
