Access and permissions

Administrator and subaccounts.

01

Open Team as administrator

Open My account → Team from the administrator session. No selected client is required. This screen manages team members; a subaccount works within its permissions and does not manage others. If Team is missing, check your signed-in identity.

Open Team as administrator
02

Distinguish PIN from password

The administrator uses their PIN for access and operations that require it. Subaccounts sign in with their own email and password after invitation. Do not share administrator access for someone else to work. If initial setup appears, complete name and PIN and repeat it before creating the administrator.

Distinguish PIN from password
If initial setup appears

Complete name, a four-to-six-digit PIN and its confirmation. Review the creation notice before managing the team.

If initial setup appears
If the PIN is missing or its format is invalid

Enter the administrator PIN in the relevant field; it accepts four to six digits. Valid format does not prove correctness. If attempts or blocking are reported, do not keep retrying: use recovery.

02

Manage people

Invitation, editing, PIN and state.

03

Prepare a subaccount

Under New subaccount, complete name, email and colour. Check the staff member’s email; it is not a client email. Enter the administrator PIN before Create and send invitation.

Prepare a subaccount
If name or valid email is missing

Correct the indicated fields before retrying. A format notice does not create a subaccount.

04

Review the invitation

Check the notice and the person’s list state. They open their invitation, set their password and then sign in with their email; if the link no longer works, ask the administrator for another. An invitation can be pending while the subaccount already exists. If email failed, check the address and use Resend invitation when shown; do not create another person for the same case. Sending does not prove first sign-in.

05

Edit name and colour

Use Edit beside the correct person, change name or colour and click Save with the required PIN. Colour helps recognise authors; changing it does not reassign clients. Cancel discards the open edit.

06

Change or recover the PIN

Change PIN is shown for the administrator. Complete the new PIN and save using the current PIN. If forgotten, I forgot my PIN lets you confirm identity using the account password or Google before setting another; a subaccount password is not a substitute.

Change or recover the PIN
If access recovery is needed

Follow identity confirmation and then the new PIN screen. If authentication fails, review the notice; it does not mean the PIN already changed.

03

Review assignments and activity

Unassigned clients and transfers.

07

Filter your view

The administrator can choose everyone, a profile or Unassigned in the view selector. This changes visible data rather than responsibility. A user profile sees its permitted data; an empty list may result from that scope or filter.

Filter your view
08

Assign a client from their record

Open the correct Clients record and review Assigned to. The administrator selects the responsible profile and checks the notice. If Unassigned is shown, choose an active profile; selecting a client in a tool bar is a separate action and does not perform this assignment.

Assign a client from their record
If no user is assigned

The administrator can locate it through Unassigned and decide which profile should receive it. Do not assume a subaccount automatically sees it. If the record is missing, create or open the correct record before assigning.

If no user is assigned
09

Review clients before deactivation

Deactivate stops that subaccount’s access. If it has clients, the form asks where to transfer them: choose an active profile or Unassigned and review before Deactivate and transfer clients. Cancel preserves the state. Activate enables the person again; do not assume it automatically returns transferred clients.

10

Review team activity

Review Team activity and its profile filter. Use Show more when available to expand displayed history. Check person, action and date; changing this filter does not modify clients. If loading fails, reopen before concluding no activity occurred.

Check the result

Changing a view does not reassign clients. Check the profile, notice and actual assignment before closing.
