Open Survey in My account

Open My account → Survey. This configures an account preference without needing an assigned client. Sending is evaluated later for the appointment and its client.

02

Choose whether it is used when closing appointments

Review Send the survey when closing an appointment. Changing the checkbox prepares the preference; click Save to retain it. Disabling does not delete existing responses.

03

Select frequency

Choose Every several sessions, After a time interval or After every session. Rules are evaluated for the appointment’s client, rather than bulk-sending to all clients when saved.

04

Check what the number represents

For Every several sessions, enter the number of sessions logged after the last invitation. For a time interval, enter days since that invitation. After every session does not use the numeric field. Check retained value; saving adjusts it to the accepted range of 1 to 365.

05

Save and check again

Click Save and review confirmation. Reopen the section to check activation and frequency. Saving the preference does not itself create an invitation.

Save and check again
If saving fails

Retain intended values and save again when connected. Reopening lets you check what was actually retained.

06

Check appointment and client

Marking the appointment completed evaluates whether sending is due. The appointment must have an associated client; selecting another toolbar person does not replace that association. The first invitation can be due even before the session count used for later invitations is reached.

Review email and invitation result

Check the record’s email. If the survey is due and an address exists, the workflow attempts sending and shows its result. Review the record’s invitation; a sending notice does not certify inbox arrival or a response.

Review email and invitation result
If the client has no email

The workflow can create the invitation and show its link for sharing. Copy the correct link and deliver through your chosen channel; no email is sent to a missing address.

Review responses and permissions separately

Open the person’s record: in Summary, check whether the invitation is pending, completed or expired. Review responses and progress in the relevant record sections. Testimonials shows responses meeting that list’s recorded permissions. A pending invitation is not a completed survey or authorisation to use text or images.

Check the result

Review saved settings, the person’s record and the invitation result. Enabling does not immediately send a survey.
