01

Prepare and invite

Immediate or scheduled room and participants.

01

Open Group video call

Under In session → Group video call, open New session. No open client record is needed. You can also open it from a record or a cohort’s Live group session; review preselected people before creating.

Open Group video call
02

Enter the title

Enter a title that identifies the meeting. It appears in the room and session record.

Enter the title
If the title is missing

Complete the indicated field and retry; an empty title does not create a room.

If the title is missing
03

Choose Now or Schedule

Now opens the room when created. Schedule lets you enter date and time using your browser’s time zone. Check these details before Schedule and send invitations; a scheduled session does not mean attendees have joined.

Choose Now or Schedule
If the date is missing or in the past

Correct date and time; review the notice before retrying.

04

Select guests

Search by name or email and select the correct people. The room supports the coach and up to nine guests. A selected person is not a connected person; check guests before creating.

Select guests
If you have no active clients

You can prepare a room using Open link. To associate attendance with a record, register the client and invite them with their personal link; a name entered through the open link does not create that association.

05

Decide whether to enable Open link

Enable Open link to allow joining through a general link. Anyone holding it can attempt to join by entering their name, within room capacity. Share it with the intended group. It does not replace registered clients’ personal links.

06

Create and review the result

Click Create and join or Schedule and send invitations. Review the invitation summary: sent, missing email or failed. If no tab opens, check popup blocking and use Join as host. A sending summary does not prove email receipt.

Create and review the result
If a guest has no email

A personal invitation can exist without email delivery. Copy that person’s link and share through your chosen channel. Check the recipient; do not use the host link.

02

Manage invitations

Personal links, open link and changes.

07

Distinguish the links

For personal links, use Copy beside the relevant guest. The general link appears only when Open link is enabled. Keep the host entrance for yourself, through the signed-in dashboard.

08

Review My rooms

Open My rooms to review active and scheduled rooms, their dates and invited guest counts. Join opens your host entrance; Guests and links expands links and actions. Do not confuse invited guest count with current attendees.

Review My rooms
If no rooms appear

Reopen My rooms and check the account. An ended room stops appearing as active; a loading error does not mean no rooms exist.

09

Add, resend or remove guests

Under Guests and links, Add guests shows clients not already invited and available places. Select and click Add and send invitation. Resend invitations attempts another delivery; review the result. Remove revokes that invitation: check the person first. To remove someone currently connected, use Remove in the room’s People panel.

03

Work in the room

Joining, devices, people, chat and notes.

10

Prepare to join

Open the link for your role. The host enters from the dashboard; guests can use their invitation without an account. Check name, camera and microphone before joining. If devices cannot be accessed, check site permissions; you can join and enable them later.

Prepare to join
If the open link requires a name

Enter your name before joining. It identifies your presence in the room but does not assign a client record.

If the open link requires a name
11

Resolve joining notices

If the link is incomplete, copy the whole link again. If a personal invitation is required, ask the coach for the correct one. An ended room or expired link requires another valid link. If full, wait or contact the host. For connection failures, check your network and retry.

12

Control your devices and view

Use microphone and camera buttons for your own devices. Devices lets you choose camera, microphone and, where supported, speaker. Share screen opens the browser picker; choose the appropriate window and press again to stop. Pin a person large and return to the grid, or use full screen.

13

Manage turns and participants

Open the People panel. Each attendee can raise or lower their hand and use reactions. The host can lower hands, mute microphones or Remove a guest; Mute all acts on other microphones. Muting does not let you turn someone else’s microphone on: they must enable it themselves. Check the person before removal.

14

Use room chat

In Chat, type and press Send or Enter. The message is shared with connected participants; it is not private. Do not confuse it with a note or email.

Use room chat
15

Write and review notes

The host has Notes. While typing, they are retained in this browser for this room. They are not yet a saved session in client records. Ending for everyone from the room can add the same notes to each registered client who attended: avoid individual comments inappropriate for the shared record. This room does not provide the individual call’s recording and file controls.

Write and review notes
04

Leave and check completion

Leave yourself or end for everyone.

16

Distinguish Leave from End

As host, open the exit menu. Leave only me keeps the room open and allows rejoining; it does not end the meeting or save notes as a session. End for everyone closes the room and invalidates links. Review notes before confirming. Closing the tab does not replace End for everyone.

Distinguish Leave from End
17

Check recorded information

Review the final screen and then records of clients who attended through personal links. Identified attendance enables session recording; inviting someone who did not join does not create that record. An open-link entry without an associated client does not create a record. Ending from My rooms does not send text retained in the room browser: end from the room to include those notes.

Check recorded information

Check the result

Inviting does not prove attendance. Review the ending result and records of clients who joined with personal invitations.
