01

Create and share the room

Choose a quick room or one attached to a client.

01

Open a room from the menu

In the sidebar, under In session, click Video call. A room is created and opens in another tab.

This is a quick room with no client attached. To save notes in a client record at the end, use the entry from that record described in the next step.

Open a room from the menu
Copy the quick-room link

In the dashboard message, copy the link to share with your guest. The system also attempts to copy it to the clipboard. If the browser does not allow that, select and copy the link from the message.

If the new tab does not appear, check the browser’s popup blocker and allow the room to open.

Copy the quick-room link
02

Open the room from the client record

Under Your day → Clients, open the record of the person you will work with and click Video call.

The room is attached to that client. When you finish with Hang up from the coach’s room, the session and its notes are recorded in the client file.

Open the room from the client record
If no client record is open

The message tells you to open a client record first. Go to Clients, open the relevant person and click Video call again. If they are not registered yet, create their record first.

For a call without a client-file entry, you can use the quick room from the menu.

If no client record is open
03

Share the link with the client

After you create the room from a client record, the dashboard asks how to share it. Enter 1 to copy the link or 2 to open WhatsApp, then click OK.

In WhatsApp, review the recipient and message before sending. If the record has no phone number, choose the recipient in WhatsApp. Opening it does not send the message automatically.

Share the link with the client
If you choose to copy the link

Copy the client link from the message and paste it where you will share it. The client opens it and reaches the pre-call screen without needing an account.

Share the guest link from the message; keep the coach’s room opened from the client record for yourself.

If you choose to copy the link
04

Prepare the link from an appointment

You can also create the room from Schedule. When creating or editing an appointment, select the client and, beside Video call, click Generate CoachPro link.

The link is inserted into the appointment field. Save the appointment to keep it. The Schedule chapter covers the other fields.

Prepare the link from an appointment
Join from the appointment as host

An appointment with a CoachPro link shows Join as host. Use it to open your room. If the appointment has a client, the coach’s entry is attached to them; without a client, notes are not added to a client file.

The link displayed in the field is the one to share with the guest.

Join from the appointment as host
02

Prepare and join

Check devices and the name you will appear under.

05

Check camera and microphone before joining

On the pre-call screen, check your camera preview and allow camera and microphone access when the browser requests it.

The two preview buttons turn your microphone and camera on or off before joining. A button marked as off means that device is not active.

Check camera and microphone before joining
If the browser blocks camera or microphone access

If the camera and microphone access message appears, check this site’s permissions in the browser, allow the devices and reload the room.

If the microphone works but the camera does not, you can join with audio. During the call, the Camera button lets you try enabling it again.

If the browser blocks camera or microphone access
06

Enter the name the other person will see

In Your name, enter how you want to appear in the room. The client completes the same field on their screen with their own name.

Enter the name the other person will see
07

Join the room

Click Enter the room on the coach’s entry attached to a client, or Join the call on the guest entry and in a quick room.

If the other person has not joined, a waiting message is shown. The call connects when both people are in the same room. If they cannot meet, check that they opened the same guest link.

Join the room
08

Retrieve the link while waiting

On the waiting screen, the link field and Copy button let you share the room again.

The guest link does not include the client association carried by the coach’s entry. You do not need to create another room for the person to rejoin.

09

Turn your microphone on or off

Click Microphone in the bottom bar to mute yourself. Click it again to enable your voice.

If the bar disappears, move the pointer or touch the screen to show it again.

10

Turn your camera on or off

Click Camera to turn your video off, then click again to turn it on. Turning the camera off does not mute the microphone.

If you joined without a camera, this button requests it again. If it still does not work, check browser permissions and the selected device.

11

Choose the camera and microphone

Click Camera and microphone, the gear button. In the menu, select the camera and microphone you want to use.

If you use headphones and cannot be heard, check that you selected their microphone or the one you intend to use. List names depend on the devices on your computer.

12

Share your screen

With the call connected, click Share screen. In the browser’s picker, choose the tab, window or screen to show and confirm.

To stop sharing, click the button again or use the browser’s stop-sharing option. Your camera image returns.

If you cancel the picker, nothing is shared. The button may be unavailable on mobile or if the browser does not support this feature.

13

Change the video layout

Click Change view to switch between the other person’s large video, split view and your large video.

04

Work during the session

Take notes, chat, share files and record.

14

Write your session notes

Click Panel / Tools and open the Notes tab. Write your observations and next steps in the text box.

The text is retained for this room in this browser. To add it to the client file, the room must be attached to a client and you must finish with Hang up from the coach’s entry.

Write your session notes
15

Download a copy of your notes

In Notes, click Download notes. A text file (.txt) containing what you wrote is downloaded.

If you are in a quick room without an attached client, use this download to keep the notes outside the browser.

Download a copy of your notes
16

Add your voice to the notes

Click Transcribe my voice (beta). Transcription adds the fragments of your voice recognised by the browser to Notes, in the room’s language.

It is not a transcript of both people. Review and correct the text. To stop, click Stop transcription.

Add your voice to the notes
If transcription is unavailable

If the button displays Not supported in this browser, type your notes manually or use a browser with speech recognition support.

If transcription is unavailable
17

Send a chat message

In the panel, open Chat, type your message and click Send. You can also press Enter.

You can paste a link to share during the conversation. Chat is not added to notes: copy any information you need to keep into Notes.

Send a chat message
Check the message in chat

The message appears in the history and the input field clears. The other person must be in the room to receive it.

Check the message in chat
18

Send a file during the call

With the call connected, open Chat, click the paperclip Send file button and choose the document.

The file must be no larger than 50 MB. The other person receives a download link in chat. If a message says there is no connection yet, wait until both people are connected and select it again.

Send a file during the call
Check the sending message

Chat displays the name of the file being sent. Ask the other person to check their download link before closing the call.

20

Record the call on your computer

With the call connected, click Record (on your device). The button changes to Stop recording.

If you try to record before the other person’s video arrives, chat tells you to wait. If the browser does not support recording, a message appears.

Record the call on your computer
Check the recording indicator

The Recording indicator shows that a recording is active. It also appears when the other person is recording.

Check the recording indicator
Stop and keep the recording

Click Stop recording. The video downloads as a .webm file. When the audio can be prepared, an audio .webm file also downloads; the browser may ask permission for multiple downloads.

The audio is available as the latest recording in this browser for Use the latest recording in Recaps. Another recording can replace it: keep the downloaded file if you will need it.

The recording is not automatically attached to the client file. If you hang up while recording, the room stops the recording before ending.

Stop and keep the recording
05

Review and finish

Check the timer and connection, then save by hanging up.

21

Check the session timer

When the other person’s video arrives, a 60-minute countdown starts in the top bar. Its colour changes during the last five minutes.

The timer is a reference: reaching zero does not hang up the call. Use Hang up when you want to finish.

Check the session timer
22

Check the connection if the call breaks up

The top-bar indicator shows the estimated connection quality. If the call breaks up, check your internet connection and ask the other person to check theirs.

If Reconnecting… appears, the room is trying to restore the call. If someone left, they can return using the same link.

Check the connection if the call breaks up
23

Finish with Hang up

Review your notes and download anything you want to keep. Then click Hang up.

If you entered from the client record or as host of an appointment with a client, the system records the session and its notes in that file. Closing the tab does not replace this save step.

Finish with Hang up
Check the end screen and return to the dashboard

The room shows Call ended. On the coach’s entry attached to a client, it shows the saved-notes message and Back to dashboard.

When you return, open the client record and check the recorded session. If you used a quick room without a client, notes are not added to any client file; use the copy you downloaded.

Check the end screen and return to the dashboard

Before closing the tab

Download any notes or recordings you need and finish with Hang up. If the room is attached to a client, check the session in their record afterwards.
