01

Prepare details

Issuer, series and client.

01

Open Invoicing

Open Invoicing under Your business. Review Issued, Collected and Outstanding and the document list. Summaries use the selected year and issued documents; drafts are not included.

Open Invoicing
02

Review series and numbering

Open Series and numbering. Review prefix, separator, length and annual restart for the document-type series. Check the example and click Save series if changing values. Formatting can be locked once the series has been used in the year.

03

Create a draft of the correct type

Click New invoice or New receipt. This creates a draft and opens the editor; it does not issue it. Receipts on this screen apply neither tax nor withholding. Choose the appropriate document for your case and review its details.

04

Select the recipient

Use Client in the editor. Check identity and billing details in the record. Toolbar selection does not replace this selector; from a client record, Create invoice/receipt can start a document for that person.

Select the recipient
If no client is assigned

You can prepare an unassigned draft, but issuing an invoice requires a client with a name or legal name and tax identification. If missing from the list, check the record is active and reload Invoicing.

If no client is assigned
If client billing details are missing

Complete details in the client record and return to the document. An incomplete-details notice does not confirm issuing or assign a number.

02

Prepare and issue

Line items, drafts and issuing.

05

Enter line items

Enter description, quantity, unit price and discount where applicable. Use Add line for another item and × to remove it from the draft. Review totals after each change.

Enter line items
If no line items exist

Add at least one line item before issuing. Saving an incomplete draft does not mean it can be issued as it stands.

06

Review currency and document details

Check issuer and recipient country, currency, tax and withholding labels and percentages, and regime text where applicable. The series supplies initial values; review those applicable to this document. This manual explains controls rather than determining the correct tax treatment.

Review currency and document details
If issuer details are missing

Complete your Billing details under My account and return to Invoicing. Do not issue based only on your visible profile name; issuer details are retained on issuing.

07

Save draft changes

Click Save draft and reopen it to review retained information. A draft uses no number and can still be edited or deleted. Returning to the list without saving does not necessarily retain editor changes.

Save draft changes
08

Confirm issuing

Review all fields and click Issue. Read confirmation before accepting. On completion a number is assigned and the detail opens; an issued document can no longer be edited like a draft. Issuing does not send email or itself start a payment.

Confirm issuing
03

Review and retain

Payment status, correction, PDF and CSV.

09

Check the issued document

Review number, date, recipient, items, currency and total. Document status and payment status are different. An issued document can remain Unpaid; do not mark it paid merely because it was issued.

Check the issued document
10

Record payment status correctly

When appropriate, click Mark paid. This marks the document paid using today’s date; it does not transfer funds or charge a card. Mark unpaid removes the mark and date. To request payment, review the Payments and instalments workflow.

11

Download or print the document

In detail, use PDF or Print. Check the file and its language before sharing: the document can use the client’s recorded language. Issued-document details reflect information retained when issued, rather than necessarily later record changes.

Download or print the document
12

Review the reason before voiding

Open Void, enter a reason and review confirmation. Cancel retains the current state. Voiding retains the number and explanation; it does not delete the document or itself refund payment.

Review the reason before voiding
If the reason is missing

Enter a reason before confirming. A missing-reason notice does not mean the document is already void.

If the reason is missing
13

Prepare a correction when appropriate

Click Correct and read confirmation. The process creates a draft linked to the original with negative line items. Review it before issuing. Creating a correction does not edit the original or automatically refund payment.

Prepare a correction when appropriate
14

Filter without changing documents

Use Year, Type, Status and Payment to locate documents. Combine Issued and Unpaid to review outstanding documents. Type, status and payment filters change the list; top summaries follow the year.

Filter without changing documents
15

Review summary currencies

With several currencies and a configured base currency, you can view separate amounts or approximate conversion. Review the exchange rates you entered; the view does not change document currency. If a rate is missing, the notice identifies the currency excluded from the converted total.

16

Download the year’s documents

Click Download for accountant. CSV includes issued and void documents from the chosen year and excludes drafts; type, status and payment filters do not limit it. If All years was selected, check the file’s year: the download uses the current one.

Review recipient, currency, details and totals before issuing. Saving, issuing, marking paid and sending a document are different actions.
