Check settings, client and session.
Open Recaps from the sidebar. Review existing draft states before creating another for the same session.
Select New recap to open the form. Check AI settings and selectors before loading contents.
If settings appear, select the provider and enter your API key. Model is optional. Save and wait for confirmation. To correct existing settings, use Change provider, model or key.
Review settings and the error message. When changing a key, the field opens empty: enter the relevant key and check saving. Do not paste keys into the transcript.
Check both selectors even if a client is active in the dashboard bar. The selected session determines where approved contents will be saved.
Check their record in Clients and reload Recaps. Do not choose another person just to proceed.
With the correct client selected, use Create today’s session if you need to record the current session. Wait for confirmation and check which session is selected before generating.
The form cannot generate a draft without a session. Select an existing session or create today’s after checking the client and date.
Select Español or English under Draft language. This choice applies to the output; afterwards check that generated text uses the expected language.
Choose text or audio and check authorisation.
Choose Paste transcript and paste session contents. Check that they belong to the selected person and provide enough context; the form requires at least 50 characters.
Complete the transcript with the required real contents and review it again. Do not add invented text to bypass validation.
Choose Upload audio and select MP3, M4A, WAV, OGG or WebM, up to 75 minutes and 200 MB. Check the filename before generating.
Read the message and check format, size and duration. Retain the original; choose a compatible copy before repeating.
Check the provider: this option uses OpenAI or Gemini. With another provider you can load a transcript.
If you saved audio with Use for recap, select Use latest recording. Check the name and session: loading removes the pending browser copy but does not generate the summary yet. Retain a download before loading it.
Check that you saved it in the same browser and site. If you already loaded it or it was not retained, select the downloaded copy with Choose file.
Read the form’s confirmation and check the box only when it applies to the selected contents and provider. The box does not obtain another person’s authorisation itself.
The form requires confirmation before generating. Review the source and required authorisation before checking it.
Distinguish uploading, processing and being ready.
Select Generate draft once and check status. Text may open the draft directly; audio first shows uploading and processing.
During upload, keep the form open until sending is confirmed. Afterwards check Recaps: Processing is not a ready draft yet. Wait and check again before generating another.
Read the message, retain the original file or text and correct the problem before retrying. Do not delete a processing draft to try to speed up the work: that state cannot be deleted.
Correct the draft before saving it.
Select Review on a Ready draft. Check title, objective, notes, agreements, tasks and next steps against session contents.
Edit the required fields and remove claims that do not reflect the session. Retain changes before closing: the form does not show automatic saving of these corrections.
Select Approve and save to session. Wait for confirmation before leaving. If it fails, retain your corrections and review the message; do not assume contents were saved.
From the Approved recap use View session and check saved fields. Approving does not mean sending to the client: to share, use the session sharing flow and check its result.
Use Delete and read the confirmation when the state allows it. Cancel retains the draft. If deletion fails, check the list before repeating; do not assume it disappeared.
Check the client, session and contents before approving. Generating does not mean approving, publishing to the client or sending an email.
