Transcribe your sessions, keeping what you say and what your client says apart, in the CoachPro video call or in Meet, Zoom and Teams. The transcript is saved to the client's file, with a draft recap for you to approve.
Set up your AI key · In the CoachPro video call · In Meet, Zoom or Teams · Review the transcript
You only do this once: save your Gemini or OpenAI key.
Open Settings and the AI tab. Expand AI Notes and AI Co-pilot: how to get your key: it explains step by step where to create the key in Google AI Studio or in OpenAI and what is saved.
Under Add or change a key, choose Gemini or OpenAI, paste the key and click Save key. It is stored encrypted and never shown again.
AI Notes uses the key chosen for AI Recaps. If you have several, set the Gemini or OpenAI one there. An Anthropic (Claude) key does not transcribe audio: it works for recaps from text, but not for AI Notes.
Turn on notes during the call with your client.
Once you are in the call with your client, click AI Notes in the controls bar. Only you see it: your client does not have this button.
A window explains it. Set up my key opens the AI tab with the guide expanded in another tab. Once you have saved it, go back to the call and click I set it up, check again.
AI Notes · after the session records the two voices separately and transcribes them when you hang up. AI Co-pilot · live transcribes while you talk and gives you suggestions during the session.
Tick the consent box and click Start. Your client sees the Transcription on notice on their screen.
With the AI Co-pilot, the side panel shows what share of the time each person speaks and, every 90 seconds, suggested questions, agreements detected and themes to explore. Below is the transcript, with You and Client kept apart.
When you hang up, the transcript is saved to the client's file and the draft recap appears in Recaps within a few minutes. If the room was not linked to a client, it asks which client the session is for.
Transcribe a meeting you hold outside CoachPro.
In the client's file, History tab, click AI Notes (Meet/Zoom/Teams): the Session notes page opens in another tab, with that client already selected. You can also open it from the sidebar, under In session › AI Notes; there you choose the client on the page.
It works in Chrome or Edge on a computer. If you use the Zoom or Teams desktop app, join the meeting from the browser.
Open your meeting in another tab of the same browser. In Session notes, choose the mode, tick the consent box and click Start. The browser asks what to share: choose the meeting tab and leave Also share tab audio turned on. Your microphone is requested separately.
A window or the whole screen was shared, or the tab audio was turned off. Click Start again, choose the meeting tab and leave the audio turned on.
The page shows the time, who is speaking and, with the AI Co-pilot, the suggestions and the transcript. Click Open floating window to keep it on top of the meeting while you talk.
If you stop sharing the tab, the session ends and is saved automatically.
When you are done, click Finish and save. The session is created in the client's file with its transcript, and the draft recap arrives in Recaps. With AI Notes you can close the page while it is transcribed.
Search it, download it or redo the recap from the client's file.
In the session history, sessions with a transcript carry the Transcript label. Click View transcript.
Each turn shows its time and who spoke. Type in the search box to filter. Copy puts it on the clipboard and Download .txt saves it as a text file.
Click Delete transcript and confirm. The session and its recap are kept. This cannot be undone.
Generate AI recap opens the recap for that session with the transcript already pasted. Choose the language, confirm the authorisation and click Generate draft. Review and approval work as in AI Recaps.
Always ask for your client's consent before transcribing. The audio is not saved: only the transcript, which you can delete at any time. The recap is not shared with the client until you review and approve it.
