Activity, language and expiry.
Open Open links / QR under Group work. Each activity has a reusable link. There is no need to select a client first: participants identify themselves when registering.
Click Create link. Enter a recognisable name, such as Priorities workshop, and select the tool. This selection belongs to the activity; it is separate from the shared toolbar’s client or active tool.
Complete the required fields before clicking Create reusable link. If saving fails, check whether the activity appeared in the list before repeating it.
Choose Language for participants: this determines the tool and consent language independently of your dashboard language. Decide whether to request a phone number for WhatsApp. Set an expiry date and time, or leave it blank for no expiry.
Click Create reusable link. Check the name and URL in the Link created window. Close it to locate the card and review its tool, language and expiry. Creating the link alone does not invite or register anyone.
URL, QR and participant details.
On the card, click Copy link or View / download QR. Save the image if displaying or printing it and test scanning. The QR leads to the same link; it does not contain responses.
You can still copy and share the URL. Reopen the QR when the connection allows it to load; an image failure does not mean the link was deleted.
In the QR window, WhatsApp and Email open the relevant channels with the URL. Choose the recipient and review the message there. If their email is unavailable, deliver the URL through another channel. These buttons do not confirm receipt or completion.
The participant opens the URL or scans the QR, enters name and email, phone if requested, optional organisation and consent, then accesses the tool. Different people should not share one identifying email address; registration and completed activity are separate stages.
The form asks for the details and consent. Participants must use their own valid email address; do not enter a fictitious address merely to continue.
Responses, status and deletion.
The card shows registrations and completions for that activity; the totals above combine campaigns. A registration does not guarantee all responses were submitted. Check statuses before interpreting results.
Click View results. Under Individual, review the participant and status; Open displays the recorded result in the tool. If there are no participants, check that you shared the right link and people completed registration.
Under Group, review responses the panel can summarise: numbers, choices and text. Read text responses under Individual; some choices may display names. This panel is separate from Organisations’ threshold-based anonymous reports.
Use Switch to English or Switch to Spanish on the card. Check the URL and QR again before distributing them: the link uses a different route for each language. Changing language does not translate existing written responses.
Click Deactivate and check the card changes to Inactive. You can Activate it again. Expiry also affects access even if the card says Active; activating does not change the date. If it expired and another activity is needed, create a new link.
Click Delete and read the warning: the campaign and link are permanently removed; results saved in client records are retained. Click Cancel if you only want to stop new entries, then Deactivate the card.
Check the tool, language and expiry before distributing the URL or QR. Review registrations and completions separately.
