1. About this document

This document explains, in clear language, how your coach processes the personal data you share during the coaching process. It tells you what information may be stored, what it is used for, how it is protected, and what you can request at any time.

2. Who is responsible for your data

Your coach is responsible for the personal information you share in the coaching process. Your coach decides what data is requested, why it is used, and how long it is kept. CoachPro Tools is the technical platform used to store notes, tools, forms, and process information securely.

In short: your coach decides how your data is used. CoachPro Tools is the technology provider that stores it securely.

3. What data may be stored

  • Basic contact details such as name, email, and phone.
  • Context information such as profession, company, city, country, time zone, or date of birth.
  • Coaching process information such as objectives, areas, modality, frequency, and start date.
  • Commercial information such as agreed fee, payment method, and payment status.
  • Session content such as dates, duration, objectives, notes, agreements, tasks, and next steps.
  • Answers written in interactive coaching tools and forms.
  • General observations your coach records to support the process.

4. Why your data is used

Your coach uses this information to follow your process session by session, remember previous work and commitments, prepare future sessions, generate useful tools or reports, and manage administrative aspects of the service.

Your data is not sold, not used for unrelated marketing, and not used to train artificial intelligence models by CoachPro Tools.

5. Who can access your data

Your data can be accessed by your coach and by the technical providers used by CoachPro Tools where necessary to operate the platform. Providers are bound by confidentiality and data protection obligations.

6. Where your data is stored

Your data is stored on secure infrastructure managed by professional providers. Some infrastructure may be located in the European Union and some in the United States, protected by appropriate transfer mechanisms where required.

7. How long it is kept

Your data is kept while the coaching process is active and afterwards for the minimum period needed to comply with legal, tax, accounting, or dispute-related obligations. You may request deletion when the data is no longer needed, subject to legal retention requirements.
