01

Review the calendar

Find appointments and navigate dates.

01

Open Schedule

In the sidebar, under Your day, click Schedule.

This calendar shows appointments you create and bookings from your public booking page.

Schedule in the sidebar.
02

Choose a calendar view

Click Month to review a month, Today to see the selected day, or Week to see a week’s times.

Week view distinguishes appointments, blocks and busy periods from Google when a connection is active.

Calendar view buttons.
03

Move through dates or return to today

Use the arrows to move backward or forward. The heading shows the period you are viewing.

The Today button beside the heading returns to the current date. Check the date before creating an appointment or a block.

Arrows, visible period and Today button.
02

Create an appointment

Choose a time and enter the session details.

04

Start a new appointment

Click New appointment. A window opens to choose a day, time and duration.

The client and session fields appear after you select a time.

New appointment button.
05

Select the duration

Under Duration, choose the appointment’s length. This example uses 60 min.

Set the duration before choosing a time: the platform needs a gap that fits the entire appointment.

Duration dropdown.
06

Select the day

Use the calendar arrows to find the month, then click the day you want to book.

Times for that day appear on the right. Past days cannot be selected for a new appointment.

Day-selection calendar.
07

Select a free time

Click an available time. Busy times are disabled.

The details form opens with the selected date and time at the top.

If no suitable gap is available: check the duration or choose another day. Review appointments, blocks and Google busy periods affecting that time.

Times for the selected day.
08

Set whether the appointment repeats

Under Repeat, leave Does not repeat selected for a single appointment.

For several sessions, complete this form and review Recurring appointments and packages before saving.

Repeat dropdown.
09

Select the client

Under Client, choose the person the appointment belongs to. Check their name before saving.

To assign an existing appointment, open it, choose the client in this field and click Save appointment.

Client selected for the appointment.
If no client is assigned

You can save with No client assigned. The appointment appears in Schedule, but is not linked to a client record and no client invitation is sent.

For a personal activity, you can select Admin / Other as the type. For a client appointment, select the person or create their record before saving.

If no client is assigned
If the client is not in your list yet

Select + New client. Enter their full name and their email, if available.

The record is created when you save the appointment. If the email already belongs to a record in your account, that record is used. Without an email, the appointment is still saved, but the client does not receive the invitation or cancellation link by email.

If the client is not in your list yet
If the new client’s name is missing

The appointment is not saved and this message appears. Return to the name field, fill it in and click Save appointment.

If the new client’s name is missing
10

Choose the appointment type

Under Type, select Coaching session, Call, Check-in or Admin / Other, according to the activity you are scheduling.

Appointment activity type.
11

Check the status

For an appointment that has not happened yet, leave Scheduled selected.

When editing it, you can select Completed, Cancelled, No-show or Rescheduled. Choose the relevant status and save.

To move the appointment, also use Change day/time: selecting Rescheduled alone does not change its date.

Appointment status.
12

Enter a title to identify the appointment

Under Appointment title, enter a short description, such as “Review goals”.

This field is optional. The title helps identify the appointment in the calendar.

Example appointment title.
13

Enter the location for an in-person appointment

Under Location (in person), enter the address, room or meeting point.

You can leave this field empty if a location is not needed.

Meeting location.
14

Add the video call link

Under Video call link, paste the full meeting address. It must start with https:// or http://.

To create a room here, click Generate CoachPro link. Save the appointment afterward to keep the link attached to it.

Link field and room-generation button.
Check the generated link

The address appears in the field and Join as host is shown. Use that button to open your host access when needed.

You can generate a room before selecting a client; the appointment is linked to the person selected when you save.

Check the generated link
If the address is invalid

The appointment is not saved. Add https:// to the correct address, or clear the field if no video call is needed. Save again.

If the address is invalid
15

Enter the session agenda

Under Session agenda, enter the topics you will work on with the client. The client can view this information in their space.

Saving a non-empty agenda prepares its email delivery during the client’s daytime hours. An empty field does not send an agenda.

Click Suggest to add next steps from the client’s last session and pending actions. Review and edit the text before saving.

Session topics and Suggest button.
If you use Suggest without selecting a client

Click OK, select an existing client and click Suggest again. If you are creating a new client record, you can enter the topics manually.

If you use Suggest without selecting a client
Review the suggested topics

The suggestions are added below your existing text. You can edit them, remove anything irrelevant or add other topics.

If the client has no next steps or pending actions yet, a message appears and you can enter the agenda manually.

Review the suggested topics
16

Add internal notes

Under Internal notes, enter any context or reminders you need to prepare for the session.

These notes are for you; they are not part of the agenda shown to the client.

Example internal notes.
17

Check the client reminder

Remind this client before the session is ticked by default. Leave it ticked to allow this appointment’s reminder, or untick it to skip the reminder.

The channel and notice period are configured under My account → Reminders. Check that the client record contains the details required for your chosen channel.

Reminder checkbox for this appointment.
18

Save and check the appointment

Review the date, duration and client. Click Save appointment at the bottom of the window.

Once saved, the window closes and the appointment appears in Schedule. If a client with an email is selected, an invitation is sent with a calendar file and cancellation link.

If an error appears, read the message and address it before saving again.

Actions at the bottom of the form.
Find the appointment in the calendar

Find the selected day and check the appointment title or client. Click the appointment to review its details.

Find the appointment in the calendar
If the appointment overlaps a busy period

The message identifies the busy period. Click Change the time to return to the form and select another slot.

Save anyway keeps the overlap. Use it only if you intend to keep both activities at that time.

If the appointment overlaps a busy period
03

Recurring appointments and packages

Set recurrence and review the dates to be created.

19

Choose the recurrence frequency

When creating a new appointment, choose its first date and time, then open Repeat. Select weekly, every two weeks, monthly or a custom frequency.

The monthly options show whether the date or weekday is kept. If a month does not have that date, its last day is used.

Recurrence frequency.
If you choose a custom frequency

Enter the interval under Every, then choose weeks or a monthly option under Unit. For example, 3 weeks creates a date every three weeks.

If you choose a custom frequency
20

Set when the series ends

Under Ends, choose whether the series ends after a number of sessions or on a date.

For a six-session package, select After and enter 6. To end on a date, select On and choose the day.

Ending after sessions or on a date.
21

Name the package

Under Package name (optional), enter a name to identify the series.

This example uses “Six-session process”. You can leave the field empty if no name is needed.

Optional series name.
22

Review the dates before saving

Check the number of appointments to be created and the dates in the list. Only ticked dates are created.

A conflicting date is unticked. Change its date and time in that row to find another slot, or leave it out of the series. Ticking it without changing the time keeps the clash.

Complete the client and appointment details, then click Save appointment. The included dates are created and, if the client has an email, they receive one invitation with the series dates.

Date preview and conflicts.
If the session count is invalid

A series allows between 2 and 52 sessions. Correct the number to restore the date list. Also check that at least one date is included before saving.

If the session count is invalid
04

Manage a saved appointment

Edit, view responses, send invitations or record a cancellation.

23

Open an appointment to edit it

Click the appointment in the calendar. Edit appointment opens with its current details.

Change the fields you need and click Save appointment to apply the changes.

Date and time of an opened appointment.
24

Change the day or time

Click Change day/time. Choose the new day, check the duration and select a time.

Review the details and click Save appointment. To record that it was moved, also select Rescheduled under Status.

Return to the time-selection step.
If the appointment belongs to a series

When shared details change, you are asked which appointments to update: Only this one, This and following or The whole series.

Choose the scope before confirming. Notes, agenda and status changes belong to the opened appointment. Completed sessions are not updated by shared changes.

If the appointment belongs to a series
25

Check the pre-session form

If the appointment has a pre-session form, its status appears when you open it. Once answered, click View answers to read the client’s responses.

If this block is missing: review pre-session form settings under Reminders. Pending or expired means there is no completed response to view yet.

Pre-session form status and access.
26

Send or resend the invitation

In a saved appointment, go to Email invitation. You can enter an optional personal message.

Check the displayed email and click Send invitation to client. The invitation includes a file to add the appointment to their calendar.

If this section is missing: select a client with an email in their record. If you need to add the email, update the record and reopen the appointment.

Optional message, recipient email and send button.
Check the sent message

Check the email shown in the confirmation. To send it again, wait until the button allows resending.

If an error appears, read it before retrying; an appointment save confirmation alone does not confirm that an invitation was sent.

Check the sent message
27

Cancel an appointment

Open the appointment, select Cancelled under Status and click Save appointment.

Cancelling an existing appointment processes its cancellation notification and removal of its calendar event. The appointment keeps its Cancelled status in your records.

For a session that took place, use Completed. If a post-session survey checkbox appears, review it before saving.

Cancelled status selected.
28

Delete an appointment you do not need to keep

Open the appointment and click Delete. Read the confirmation before accepting.

To record a cancellation and its notification, use the status change described in the previous step. Delete removes the appointment.

If it belongs to a series, choose the scope shown in the deletion window.

Deletion confirmation.
05

Prepare the session with AI

A pre-session brief from the client’s history, generated with your AI key.

29

Open Prepare with AI

In the appointment window, next to Suggest, click Prepare with AI. It is also on the client’s record, under At a glance → Next session. If a saved brief already exists for that client, it is shown when the window opens, without generating it again.

Open Prepare with AI
If the appointment has no client

“Choose the client for this appointment first.” appears. Select the client and click Prepare with AI again.

If the appointment has no client
30

Confirm authorization and generate

Read the explanation, tick the authorization box and click Generate brief. Your own AI key is used, the one assigned to recaps under My account → Artificial intelligence. Wait while “Reading the history and preparing the brief…” is shown.

Other possible notices: the provider rejected your key (check it), you have generated many briefs in a row (wait a few minutes) or, on some accounts, “This feature requires White Label”.

Confirm authorization and generate
If the box is not ticked

“Tick the authorization box to continue.” appears and nothing is generated. Tick the box and click Generate brief again.

If the box is not ticked
If no AI key is set up

“Set up your AI key in Settings → AI to use this feature.” appears. Save your key under My account → Artificial intelligence, check the recaps assignment and try again.

If no AI key is set up
If the client has no history

“This client has no history to summarize yet.” appears. The brief needs client data such as recorded sessions, actions, goals, forms, tools or Client Log entries.

If the client has no history
31

Review what to keep in mind

The brief is labelled “AI-generated · review it before using it” with its date. Each item has an Open button that closes the brief and takes you to its record: session, action, goal, form, tool or Client Log entry. Check the items in their records before using them.

Review what to keep in mind
32

Use the topics and suggested questions

Topics to pick up again proposes subjects for the conversation. Suggested questions are suggestions, not facts: choose the ones that fit. The brief is not sent to the client and does not change the session agenda; to share something, write it in the agenda yourself.

Use the topics and suggested questions
33

Regenerate when needed

If you click Generate brief and nothing has changed in the history since the last brief in that language, the saved one is shown without using your key again. Click Regenerate to request a new one even without changes; the authorization box must be ticked.

Regenerate when needed
06

Block time in your schedule

Reserve full days or time periods.

34

Start a calendar block

Click Block in the calendar toolbar.

A block reserves time you do not want to offer on your public booking page. You can block full days or a period within one day.

Block button.
35

Block one or more full days

Leave All day ticked. Under From, choose the first day; under To (inclusive), choose the last day.

For a single day, enter the same date in both fields. Check that the end date is not before the start date.

Dates for a full-day block.
36

Block part of a day

Untick All day. Choose the Day, then enter the start and end times.

For example, from 14:00 to 16:00. Times use the browser’s time zone, like the Schedule calendar.

38

Edit or delete a block

Click the block in the calendar. Change its dates, times or reason, then click Save block.

To remove it, click Delete and review the confirmation. Once removed, this record no longer blocks that time.

07

Connect your calendars

Set up Google Calendar or a subscription link.

39

Connect Google Calendar

Under Connect your Google Calendar, click Connect. Google’s authorization process opens: choose your account, review the permissions and complete authorization.

When you return to Schedule, check the connection status. Your appointments sync to the CoachPro Tools calendar, and busy periods from Google can appear as busy time without showing those events’ contents.

Google Calendar connection controls.
Check the connected status

The block shows that it is connected, with Reconnect and Disconnect buttons.

To renew authorization, click Reconnect and complete the Google process.

Check the connected status
If a connection-expired message appears

Click Reconnect, complete authorization and check the status again. If the message requests permission to read busy periods, review that permission during authorization too.

If a connection-expired message appears
If you want to disconnect Google Calendar

Click Disconnect and read the confirmation. Disconnecting stops creating and updating appointments there; existing events are not deleted.

If you want to disconnect Google Calendar
40

Generate a link for your calendar app

In the Google Calendar, Apple or Outlook sync block, click Generate link.

This link lets you subscribe to your appointments. It is read-only: appointments created in the external app do not come into Schedule through this link.

Subscription-link generation.
Copy the link or add it to Apple Calendar

Click Copy link and paste it into your calendar app’s URL-subscription option. You can also click Add to Apple Calendar to open its subscription process.

The link is private: anyone holding it can read the appointments it publishes. Keep it only in apps where you want to view your calendar.

Copy the link or add it to Apple Calendar
41

Revoke a subscription link

In the same block, click Revoke and review the confirmation.

The previous link stops working. To subscribe again, generate a new link and update the subscription in your calendar app.
